- Aim:
Gdynia OPEN 2025 festival is organised to:
- Popularize polish and other global songs of different subject matters
- Support talented people from Poland and other countries
- Develop music and aristic passions and interests
- Integrate artistic community
- Place and time:
- The festival will last from 29.06 to 05.07.2025
- The festival consists of five stages:
- 1st stage – registering applications from 10.02 to 20.04.2025
- 2nd stage – online auditions of submitted presentations
- 3rd stage – publication of the list of qualified people after initial verification by 30.04.2025 on www.gdyniaopen.pl, and https://www.facebook.com/festiwalgdyniaopen/
- 4th stage – live auditions 29.06.2025 – 04.07.2025
- 5th stage – the announcement of the results during the final concert – 05.07.2024 r.
- The auditions will take place on 29.06.2025 – 03.07.2025 in the concert hall of Music School at 13A Biskupa Dominika Street in Gdynia.
- The winners’ concert will take place on 05.07.2025 at the Muszla Koncertowa at Grunwaldzki Square in Gdynia.
- The Organiser is entitled to change the place of the auditions and the final concert.
4. Costs and payment:
The accreditation does not include carers, accompanying persons and instructors, it applies only to vocalists.
- Entry fee for qualifications – 60 PLN for each presentation,
Non-refundable enrty fee – 60 PLN for each presentation (song) must be paid together with the application. Payment should be done on Młodzieżowy Dom Kultury, 2 Grabowo Street, 81-265 Gdynia: PKO BP 46 1440 1026 0000 0000 1253 0625 by 20.04.2025 (date of payment to the account decides) with the following information added: Entry fee GDYNIA OPEN / the name and surname of the person/persons performing. After the payment the performers are asked to send the confirmation of the payment on: gdyniaopen@mdk.gdynia.pl.
- Entry fee for people who will be qualified – 150 PLN for each participant of the festival and 70 PLN for another presentation (duet or band) – 150 PLN for one presentation, two: 220 PLN, three: 290 PLN)
Each qualified person is obliged to make a non-refundable payment for participating in the festival in the amount of 150 PLN for each participant and in case of more presenations (duet or band) – 70 PLN. Payment should be done on Młodzieżowy Dom Kultury, 2 Grabowo Street, 81-265 Gdynia: PKO BP 46 1440 1026 0000 0000 1253 0625 by 10.05.2024 (date of payment to the account decides) with the following information added: Accreditation GDYNIA OPEN / the name and surname of the person/persons performing. After the payment the performers are asked to send the confirmation of the payment on: gdyniaopen@mdk.gdynia.pl.
Attention!
People who want to receive an invoice are asked to provide the invoice details immediately after making the payment to the following address: gdyniaopen@mdk.gdynia.pl with the transfer confirmation attached.
5. Participation conditions:
- In order to participate in the Festival it is essential to fill in an Application Form, which can be found on www.gdyniaopen.pl, from 10.02.2025 till 20.04.2025 with files attached: half playback and YouTube link with the recorded song of the participant.
- Contest video should be placed on a private youtube.com with the following information:
- name and surname of the contestant
- age category (the year of birth is taken into consideration)
- title of the song
- postscript: Gdynia Open 2025
- Example: John Kowalski, 14–17 years old, “Title of the song”, Gdynia Open 2025
- Contest video sholud be filmed horizontally and from one camera shot not neccessarily static one. The video can be recorded in home environment. The usage of microphone is not necessary but acceptable.
- Presented song must have a well-heard voice and background music or accompaniment (only vocal presenations of the soloists will be evaluated).
- Any interference in the recording by post-production is unacceptable.
- Any kind of audio-video editing is unacceptable.
- Sending of the Application Form mentioned in point 5.1 is equivalent to the acceptance of this Regulations.
- Lack of any of any of the payments on time will result in disqualification of the contestant.
- In case of resigning from the festival the organiser do not provide refund of the payments.
- Each paricipant is obliged to submit to the Organiser the original statements and consents, on the day of arrival at the latest . The statements and consents, which are attachements to this regulations, must be printed and signed by the parents or legal guardian of the conestants.
- Lack of any documents mentioned in point 5, filling them incorrectly or submitting copies will result in disqualification the contestant. Consents are optional, but necessary to participate in the Festival.
6. Participants:
- Children from the age of three, youth and adults can participate in Gdynia OPEN 2025 festival.
- In the festvival can take part vocalists singing solo, in duets or bands up to 9 people.
- Soloists and duets can be accopmanied by vocal section up to 7 people. The age of the people performing in the vocal sections do not have any influence on the qualification of the contestas to a oproper age category.
- Age categories – soloists and duets:
- Up to 10 years
- Form 11 up to 13 years
- Form 14 up to 17 years
- Form 18 + (open)
- Age categories – vocal bands (from 3 to 9 people inclusive):
- Up to 12 years
- From 13 up to 17 years
- From 18 + (open) including family bands (from 3 people, at least 2 singers, at least 1 person 18+)
- In case of duets and bands the year of birth of the oldest participant determines the age category.
- Both participants and parents/legal guardians should have valid identity document.
7. Festival schedule:
- During the course of the festival Gdynia Open 2025 each participant will perform one song, whose length must not exceed 5 minutes.
- It is not acceptable to change the repertoire after being qualified to participate in the festival after sending the appliction form.
- Performances of the contestants will be evaluated by the jury chosen by the organiser. The decisions of the jury will be based on their knowledge, experience and skills. The decisions made by the Jury are idisputable and final.
- When evaluating the contestants the Jury will take into consideration:
- vocal qualities
- selection of the repertoire adjusted to the age of the contestant
- interpretation of the song
- musicality
- sense of rythym
- artistic expression.
8. Prizes:
- Winners in the age category up to 10 years will receive statuettes of „Uśmiechnięta Rybka“ and a material prize.
- Performes selected in the age categories from 10 years above will receive the statuettes: „Złota Rybka“, „Srebrna Rybka“ and „Brązowa Rybka“ and a financial prize. The Jury will also award Grand Prix and a special award for personality of the festival.
- The Jury will award the prizes as follows:
- Grand Prix
- Piotr Balicki Special Award – Personality of the Festival
- Festival Director’s Special Award
- Special award for the interpretation of foreign-language works and Polish songs
- Soloists and duets:
- I prize – 600 PLN
- II prize – 500 PLN
- III prize – 400 PLN
- Vocal bands:
- I prize – 800 PLN
- II prize – 700 PLN
- III prize – 600 PLN
- The Jury has the right to change the amount and the alocation of the awards in each category.
- The condition to receive the prize is to submit the signed original statement of being awarded the prize by the day of the grand finale concert at the latest.
9. Organizational rules:
- Choirs are not allowed to take part in the Festival.
- The Organiser does not refund the costs of accommodation and travelling expenses.
- People or institutions delegating performers or bands to take part in the festival are obliged to provide insurance for each person during the travel and stay at the festival.
- The Organiser informs that participants of the Festival are obliged to use artistic works with respect of the copyright or related rights of their authors, performing artists and producers.
- The Organiser points out that parents or legal guardians are responsible for their contestants during the festival. Each institution or person delegating the person to the festival should ensure the appropriate number of guardians.
- The Organiser informs that the festival can be recorded and promoted by all known means, can be registered on DVD and also by TV or Internet. Applying for the festival means giving consent to processing the image free of charge. This consent includes any forms of posting especially distributing in the Internet.
- Everybody takes part in the festival at his/her own risk.
- The Organiser is not responsible for any material damage made by participant against other people during the festival.
- The Organiser is entitled to change the Regulations, the date of the Festival, or cancel the festival without justification.
- All matters not included in the above Regulations will be settled by the Organiser in agreement with the Jury.
- The final interpretation of the Regulations belongs to the Organiser.

INFORMATION CLAUSE
- The Data Controller, i.e., the entity deciding which personal data will be processed, for what purpose, and by what means, is Młodzieżowy Dom Kultury (MDK) (Youth Cultural Center) located in Gdynia, ul. Grabowo 2, phone: (58) 698 86 18, email: biuro@mdk.gdynia.pl.
- For all matters related to the protection of personal data, you have the right to contact us via the contact point email: iod.edukacja@gdynia.pl or at the Data Controller’s address.
- MDK processes personal data for the purpose of facilitating the participant’s involvement in the festival, promoting activities within the Festival based on voluntarily expressed consent (Article 6(1)(a) GDPR) and when processing is necessary to fulfill a legal obligation imposed on the data controller (Article 6(1)(c) GDPR), including financial tasks such as payment of cash prizes in accordance with the Festival Regulations.
- Your personal data will be processed in the following scope:
- Data of a minor Festival participant: name and surname, date of birth, image (photo, recording – competition video).
- Data of an adult Festival participant: name and surname, date of birth, image (photo, recording – competition video), contact details (email and phone number), bank account number (entry fee payment, prize payout), address of residence, PESEL number.
- Data of the person submitting the application and their personal data, including legal representatives of participants: name and surname, contact details (email and phone number), bank account number (entry fee payment).
- Data of the teacher or artistic supervisor under whose guidance the work was created: name and surname.
- If you provide an email address or phone number, it may be used by the organizer to contact the participant regarding matters related to the Festival.
- Providing your personal data is voluntary, but necessary to achieve the purposes for which they were collected. Without providing this data, participation in the Festival will not be possible, and in the case of winners, failure to provide required data will prevent prize payment.
- Personal data of Festival participants, parents/legal guardians, teachers/artistic supervisors will be stored until consent is withdrawn, but no longer than 5 years from the year following the conclusion of the Festival.
- Personal data, including participants’ images, may be disclosed in connection with announcing Festival results and awarding prizes as well as promoting the festival on the Festival website gdyniaopen.pl, the website of Młodzieżowy Dom Kultury in Gdynia, during events organized by MDK’s director (e.g., public disclosure of winners, public presentation of images – photos or competition videos), and on social media platforms such as YouTube, Facebook, TikTok, and Instagram. Please note that YouTube and Facebook servers are located in the United States of America, where different regulations regarding personal data protection apply.
- Recipients of your data will be entities that must receive personal data to fulfill a legal obligation, as well as entities to which data will be transferred to achieve processing purposes (e.g., postal operator).
- The collected personal data will not be processed automatically or subjected to profiling.
- You have the following rights regarding your personal data:
- The right to access your data and receive a copy,
- The right to rectify your data if it is incorrect or outdated,
- The right to restrict processing,
- The right to withdraw consent for processing at any time if processing is based on it.
- You have the right to lodge a complaint with the President of the Personal Data Protection Office ul. Stawki 2, 00-193 Warszawa.

In accordance with Art. 6 sec. 1, point a of the Regulation of the European Parliament and of the Council (EU) 2016/679 of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter referred to as GDPR (General Data Protection Regulation))

The image of the Festival Participant will be recorded in various forms of electronic processing (including photography, data streaming and film documentation) by Młodzieżowy Dom Kultury based in Gdynia at 2 Grabowo Street, as part of the organization, implementation and promotion of the International Song Festival Gdynia OPEN 2024. This consent is free of charge, not restricted by the amount or territory and covers the above-mentioned forms of publication, in particular, distributing in the Internet, including on the Festival’s website gdyniaopen.pl, the website of Młodzieżowy Dom Kultury and social networks such as YouTube and Facebook (we inform you that the servers of YouTube and Facebook are located in the United States of America, where other provisions on the protection of personal data apply –portals support the global infrastructure and process data both within the EEA (European Economic Area) and outside it – additional information is provided on the website: https://www.facebook.com/business/gdpr).
The image of the Festival Participant will be electronically processed, cropped and composed, as well as juxtaposed with the image of other people, may be supplemented by an accompanying comment, while film and sound recordings with my participation / with my child’s participation may be edited, modified and added to other materials created for the purposes of the event without the obligation to accept the final product.
The image cannot be used in any offensive way or insult personal rights and interests.

I, the undersigned __________________________________________, as the author (co-author) of the recording/film, declare that I am entitled to transfer the proprietary copyrights to the recording to the extent indicated in this statement.
As the author/legal representative of the author, I transfer free of charge to the Organiser – Młodzieżowy Dom Kultury in Gdynia – the proprietary copyrights to the recording/film, as well as dependent rights, including the right to develop the recording by adapting it, and the Festival Organiser declares that he accepts economic copyrights for recording/film.
Proprietary copyrights to the recording/film, along with dependent rights, are transferred to the Organiser at the time of signing this statement and give the Organiser the unlimited in time right to use and dispose of the recording/film, including permission to dispose and use of the recording/film in Poland and abroad without the Organiser incurring additional fees. The Organiser acquires proprietary copyrights and subsidiary rights in the following fields of exploitation:
- production of an unlimited number of copies of recordings/films using printing, reprographic, IT, photographic, digital, optoelectric, magnetic, audiovisual or multimedia techniques;
- placing the originals or copies of recordings/films on the market, renting or lending the original or copies on which the recordings/films have been recorded without subject, territorial and time limitations, regardless of the intended use;
- entering into computer memory and operating systems; disseminating in IT or teleinformation networks, including the Internet (including social networking sites such as Facebook, YouTube) in such a way that access to films by third parties is possible at the place and time chosen by them;
- public performance, exposure, presentation, reproduction, broadcasting;
- rebroadcasting, including via cable and satellite networks;
- use for informational, promotional and advertising purposes.
As the author/legal representative of the author of the recording/film, I allow the Organiser to arrange and use of other versions of the recordings/film to the extent indicated above and transfer to the Organiser the right to grant permits in this regard for the disposal and use of other versions of the recordings/film.
As the author/legal representative of the author of the recording/film, I declare that the recording/film is made by me/my child/mentee and that in connection with the recording/film and the transfer of proprietary copyrights and subsidiary rights to the Organiser, I do not infringe the rights of third parties in any way.
* I have read the Information Clause of the International Song Festival Gdynia Open 2024 – sec. 10 of the Festival’s regulations and Appendix 3 to the Application Form.
